Follow these instructions to invoice for the travel expenses of your trip to the training event.

You can claim for the travel expenses of your trip from us by submitting a travel expenses report. You will be reimbursed for part of the expenses, but some of them remain to be paid by the employer. Examples of reimbursable expenses include

  • travel costs
  • visa costs
  • costs of vaccinations and COVID-19 tests
  • possible extra accommodation costs because of a complicated journey.

The following costs remain to be covered by your employer

  • your per diem allowances during the work-related trip
  • travel insurance that will compensate for unused parts of the trip if you fall ill
  • passport or identity card for travelling.

Your background organisation will invoice the National Agency directly for your travel expenses. Therefore, first invoice your organisation according to normal practices for the tickets you have paid yourself.

The travel expenses report must be submitted within 30 days of the end of the training. Travel expenses reported later than that will not be reimbursed.

The National Agency will reimburse only the journeys that you have actually travelled. Attach the used tickets as proof of travelling. It is important to take out a travel insurance on your own expense before the trip so that the insurance will compensate for unused tickets, for example, if you fall ill.

Your organisation will invoice us for your travel expenses by sending an e-invoice. We will not accept invoices sent by post or email.

An e-invoice must be sent through OpusCapita Group Oy, the e-invoice service operator of central government. To download an instruction letter, use the link below. The letter contains detailed instructions and the required information for invoicing.

Provide the receipts as proof of the expenses incurred during the trip. They must be attached to the e-invoice electronically. If attaching the receipts fails, you can send them by email to youthevents [at] oph.fi (youthevents[at]oph[dot]fi). All the attachments must be in PDF format.

The method of invoicing for the travel expenses that you have paid yourself depends on whether you have a Finnish personal identity code or not. We need this information to be able to send you the correct instructions for invoicing.

Start by sending a message to youthevents [at] oph.fi (youthevents[at]oph[dot]fi)

In your message, tell us

  • your name
  • whether you have a Finnish personal identity code or not.

Do not send us your personal identity code, only tell us whether you have a Finnish personal identity code or not.
