Manage your Erasmus+ project successfully! On this page, you can find instructions, forms and tools that you will need at the different stages of an Erasmus+ Small-scale Partnership in your role as project coordinator. Whether a project is approved is always decided by the Erasmus+ National Agency funding the project, so it is essential for the organisation coordinating the project to operate in accordance with the funding National Agency’s instructions.
Once the funding decision has been issued, the organisation coordinating the project establishes a grant agreement with Finland’s Erasmus+ National Agency, meaning the Finnish National Agency for Education. The grant agreement details the rules and obligations that the beneficiary organisation must comply with in regard to project reporting, for example.
Annex I: information on the roles and responsibilities of the project coordinator and partners and on agreement amendments, for example.
Annex III: general conditions concerning the eligibility of activities, amendments to the agreement, the final report and project checks and audits.
In addition to the grant agreement, the use of the grant is defined and guided by the Erasmus+ Programme Guide. The guide contains information on funding rules and project audits. Be sure to read the Small-scale Partnerships section under Part B and Part C – Information for Applicants.

Make sure that you read the guides for the correct year, meaning the year in which your project was funded.
Projects can end up changing in various ways during the agreement period. Any changes must always be reported to the National Agency. Certain changes require amendments to the agreement.
If the legal representative of your organisation or the project's contact person changes, please notify the National Agency of this using the change notification form below.
If you need to make amendments to the grant agreement that require approval from the Finnish National Agency for Education, please apply for them using the agreement amendment form below. Always contact the contact person for your project at the Finnish National Agency for Education before submitting the agreement amendment form.
In other agreement amendment matters, please contact the Finnish National Agency for Education for instructions. Other amendments include:
- organisational mergers
- change in the organisation's official name
- change of bank information.
Small-scale Partnerships are reported on via the Erasmus+ Project management and reporting tool (Beneficiary Module). We organise training on how to use the tool in the form of webinars. The reporting tool is maintained by the European Commission. It is used to report on project activities and the final report of the project is also submitted via the reporting tool.
You can access the reporting tool by signing in to the Erasmus+ & the European Solidarity Corps website using an EU Login account. After signing in, go to the menu and select Projects and My Projects. The project coordinator can also give access rights to other persons in their organisation and partner organisations who are involved in the project in the reporting tool.
Project information is available to the public on the Erasmus+ Project Results website. Once the project is concluded, the results of the project are added to the website.
Interim progress reports
2022 projects: progress reports are submitted using a separate form. Please download the interim progress report template below, fill it in with your project partners and save the report in PDF format. After this, submit the report using your sector’s form below:
Below are some form templates that you can utilise in your project. You can freely edit the forms to adapt them to your project in terms of responsibilities and timetables, for example. Alternatively, you can also use your own forms.
We organise training on project management and reporting that we invite all project coordinators to take part in. If your project coordinator changes, you can request a link to the training materials from your project contact person at the Finnish National Agency for Education. We also recommend that you join the mailing lists for your education sector (see the Contact the Erasmus+ National Agency section below).
Please report any changes in your project's contact persons to the Finnish National Agency for Education using the change notification form to make sure that you are informed of upcoming training sessions (see the Notifying the National Agency of changes section above).
The coordinator of a project funded under the Erasmus+ programme must make sure that information about the project and its funding is communicated appropriately, transparently and visibly. The Erasmus+ logo must be used in all project communication, and the source of the funding must be mentioned.
